Short answer
CRM to system, w którym firma gromadzi informacje o klientach i kontaktach z nimi: rozmowy, oferty, terminy, historię zakupów.
Guide: AI in business › AI in sales and business departments
A CRM with AI is a customer management system in which artificial intelligence organises data, summarises contacts, suggests the salesperson's next step and assesses which enquiries are most promising. In B2B sales, the biggest benefit is not “AI magic”. The point is that salespeople know more quickly whom to call and what to say — provided the data in the system is in good order. We show what works, what it costs, how to implement a CRM with AI in five steps and how to check whether it really helped.
In 60 seconds Key points before implementation
- What you get: a CRM in which AI summarises the client's history, drafts messages, organises data and scores enquiries.
- Who it pays off for: B2B companies with several salespeople, a longer sales cycle and data scattered across mailboxes, spreadsheets and people's heads.
- Where the budget goes: licences are usually the smaller part. Most is absorbed by integrations, data clean-up and the team's time for the pilot.
- First process: for example, passing an enquiry from a form to a salesperson with a short note. But check the state of your data first.
- Risk: AI on bad data speeds up bad decisions, and an automated message to an important client without human approval can damage the relationship.
What is a CRM with AI and how does it differ from an ordinary CRM?
An ordinary CRM (customer relationship management system) is a database: contacts, companies, sales opportunities, notes, tasks. It works only as well as people keep it up to date. CRM with AI dokłada warstwę, która z tych danych coś robi.
You will come across three set-ups. The first is AI built into the system you already have (HubSpot, Salesforce, Pipedrive and others offer such features today); the second is a separate AI tool alongside the CRM, such as ChatGPT or Copilot, into which salespeople copy data; and the third is AI and CRM in one system connected by automation, where the data flows by itself. The last is the most convenient, but it requires clean data and well-thought-out permissions.
English-language materials call this AI in CRM or AI sales.
What does AI really deliver in B2B sales?
According to Salesforce's State of Sales 2026 report, the average salesperson spends about 40% of their time selling, and the rest is taken up by admin, searching for information and updating systems — exactly what AI in sales shortens most reliably. Five uses that work in B2B companies:
- Summaries. The history of contact with the client in a few sentences before a conversation: who they are, what they bought, what they asked about, what we promised them.
- Meeting notes. Tasks, owner and deadline extracted from a recording or note, straight into the CRM.
- Clean data. Detecting duplicates, missing fields and outdated contacts.
- Enquiry scoring. Which enquiries resemble those that led to a sale in the past.
- Draft messages. A reply to an enquiry, a reminder, an offer summary. Always to be checked by the salesperson.
Who is a CRM with AI features for, and when does it pay off?
The companies that gain most are those where sales rely on relationships and have several stages: a manufacturer selling to distributors, a B2B service company with a long decision cycle, a wholesaler with many field salespeople. There, one lost enquiry or a forgotten phone call is a real loss. If you sell mainly through an online shop, the mechanics are different; we describe them in the article on AI in e-commerce.
How do you know it is a good moment? Enquiries from the form wait more than one working day for a reply. Before a call, a salesperson checks five places to recall the client's history. The sales manager does not know which opportunities are real and which have been “hanging” for months. We wrote about how to structure the process itself in connection with the topic of business customer acquisition.
Companies with a few large clients served personally by the board will gain less. There, a good note and a calendar are enough. AI will add little.

AI sales agent: what a sales agent can do and where its limits are
An AI sales agent is a program that not only makes suggestions but carries out tasks itself: it looks up information about a company, prepares the first message, books a meeting, updates the CRM. HubSpot, Salesforce and other vendors already sell such agents in their packages. How an agent differs from an ordinary chat is explained in the article on AI agents in marketing and PR, and building your own is described in the guide how to create an AI agent.
The boundary is simple. An agent may prepare, but it should not send anything to a client on its own until you have checked in a trial how it writes. A language model can state false information in a confident tone (more in the article on AI hallucinations), and in B2B sales a single wrong promise in an email costs more than an hour saved on writing. If the agent is to talk to clients in a chat, first read how to design chatbots in customer service.
Zespół Commplace® ustawia reguły razem z działem sprzedaży, a decyzję zawsze podejmuje człowiek.

Implementing AI in your CRM step by step
Implementing AI in a CRM does not start with choosing a tool. It starts with checking what that tool will work on. Here are five steps after which you will see the effect within a quarter:
- STEP 01Check the state of your data
Count how many contacts have the key fields filled in (sector, company size, decision-maker, enquiry source) and how many duplicates there are. AI on bad data speeds up bad decisions.
- STEP 02Choose one process to start with
For example, passing an enquiry from the website form to a salesperson with a short note and a suggested reply — a website with AI and CRM integration, where the enquiry goes straight to the right person, is often the quickest win you can show the team.
- STEP 03Measure your starting point
Time from enquiry to first reply, the share of enquiries converted into a meeting, the salesperson's time spent preparing for a call. Without this, after two months there will be nothing to compare against.
- STEP 04Write down the rules
What AI does on its own (for example, summarising, filling in fields) and what requires approval (every message to a client). What data it may read. Who is responsible for a mistake.
- STEP 05Measure after 60 days
Compare the result with the baseline period or with a group of salespeople who worked the old way. Only then decide whether to extend it to further processes.
How much does a CRM with AI cost and what drives the budget?
The cost is made up of licences, integrations, data clean-up and the team's time for the pilot. The last item is the one most often underestimated. Public price lists only help to estimate the first of them; the prices below are as of 24 September 2026, in US dollars, excluding VAT.
| Item | What it depends on | Example (as of 24 September 2026) |
|---|---|---|
| CRM licence with AI features | number of salespeople, plan, limit of “credits” for AI features | HubSpot Sales Hub Professional: USD 90 per user per month billed annually, with a pool of 3,000 credits for AI features; plus a one-off mandatory onboarding fee of USD 1,500 |
| A cheaper CRM for a smaller team | whether AI features for email and reports are needed | Pipedrive: from USD 14 to 79 per user per month billed annually, depending on the plan |
| A separate AI tool alongside the CRM | number of users, security requirements | ChatGPT Business: USD 20 per user per month billed annually |
| Integrations (email, calendar, forms, ERP) | number of systems and quality of their interfaces | individual quote |
| Data clean-up | number of records, duplicates, gaps | usually several weeks of internal or external work |
| Team time for the pilot and training | number of salespeople, resistance to change | the most often underestimated item |

A new system or AI in the one you already have?
The question of which CRM with AI features to choose often has a surprising answer: the one you already have, if it has built-in AI features or allows them to be added. Switching systems usually costs more than the new features deliver. Three routes compared:
Umów rozmowę o marketing and sales automation.
| Route | Advantage | Risk | When to choose it |
|---|---|---|---|
| AI in your current CRM | no migration, salespeople know the system | AI features may require a more expensive plan | when the CRM is used and the data is reasonably clean |
| A new CRM with AI | AI and CRM in one system from the start | data migration, several months of changing habits | when the current system is dead or there isn't one |
| An AI tool alongside the CRM | quick start, low cost | copying data by hand, risk of leaks | as a trial before a decision on a larger implementation |
When to introduce AI in sales, and when it is better to wait?
A good moment is a quieter period in sales, because a pilot needs salespeople's attention, and at the peak of the season nobody will be testing new habits. So if your sales are seasonal, plan the start two or three months before the peak to have time to measure the effect and adjust the settings.
It is better to wait when there is no clear sales process (every salesperson works their own way), when most of the data in the CRM is out of date, or when the team is going through a major change, such as an ERP migration. In that case, first get things in order, then AI (and what AI can do in ERP systems themselves is described in the article on AI in manufacturing and ERP). How to structure a process that AI can work on is shown in the article on sales planning.
Eurostat data show that in 2025, 8.4% of companies in Poland used AI, against an EU average of 20%. In many B2B sectors it is therefore still possible to get ahead of the competition. There is another side too: few have ready-made models to follow, so they have to be worked out on your own process.
- Każde zapytanie z formularza trafia do CRM automatycznie, z właścicielem.
- Etapy sprzedaży mają jedną definicję dla wszystkich handlowców.
- Wiesz, ile dziś trwa pierwsza odpowiedź na zapytanie i ile zapytań kończy się spotkaniem.
- Masz umowę powierzenia danych z dostawcą narzędzia AI.
How to check whether AI in the CRM really helped?
The most common mistake in assessing an implementation looks like this: sales grow in the quarter after AI is launched and everyone concludes that AI deserves the credit. Yet it may have been the season, a new product or one large client. Coincidence in time is not impact, as we discuss in more detail on the page correlation vs impact.
Also count the time of the whole process, including correcting AI output. If a salesperson saves 10 minutes writing an email but spends 8 minutes correcting what the model wrote, the gain is smaller than the vendor's presentation suggests. We have set out a 90-day implementation plan, with budget and risks, in the article on implementing AI in marketing and PR. Need external support for your sales department? Visit the page sales support.
Where CRM ends and marketing begins
A CRM with AI speeds up the handling of enquiries, but it will not create them out of nothing. If there are too few enquiries, the problem lies higher up the funnel: in the company's visibility, in its content, in what search engines and AI models say about the company. B2B clients increasingly start their search with a question put to ChatGPT, and how to influence this is covered in the article on ranking in ChatGPT.
The second link is automation: an enquiry from a form, a welcome email, a reminder after a week, a task for the salesperson. You can build some of these steps without a developer, as we show in the article on automation with AI and n8n.
Where AI-in-CRM implementations most often go off the rails
Enquiry scoring learns from history. If half of the contacts have no sector or source, the model's suggestions are random and the team quickly stops trusting it. It ends in a wasted pilot and discouraged salespeople.
A single badly sent message to an important client (with the wrong price, date or tone) costs more than all the hours saved on writing. At the start, every message goes through a human.
If a group of clients was neglected in the past, the enquiry-scoring model will consider it unpromising and the error will become entrenched. Once a quarter, check which enquiries the system consistently scores low.
Migrating data and changing habits takes months. Before you change systems, check whether your current one has similar features in a higher plan.
Illusory savings are the most common mistake in implementation reports. Measure the time of the whole process, including reading and correcting what AI has prepared.
Questions from salespeople and boards about AI in CRM
Which CRM with AI features should you choose?
First check the one you already have, because most popular systems now offer AI features in higher plans. If you are choosing a new one, pay attention to data quality after migration, integration with email and calendar, data processing rules and whether salespeople will actually use it.
How much does implementing AI in a CRM cost?
The cost is made up of licences, integrations, data clean-up and the team's time for the pilot. Licences can be checked in price lists (e.g. HubSpot Sales Hub Professional is USD 90 per user per month billed annually, as of 24 September 2026); the rest has to be calculated for a specific process. An AI implementation diagnosis and strategy with us costs from PLN 8,000 net (as of 24 September 2026).
Will AI in a CRM replace salespeople?
No. It will take over retyping, searching for information and first drafts of messages. The client relationship, negotiations and decisions stay with people, and in B2B sales these are what determine the result.
What is an AI sales agent?
It is a program that carries out sales tasks on its own: it gathers information about a company, prepares a message, updates the CRM and sometimes books a meeting. It is safest to start in a mode where the agent prepares and a human approves sending.
Is client data in a CRM with AI secure?
It depends on the vendor and the settings. Check the data processing agreement, where the data is stored and whether the vendor uses it to train models. Also decide which fields AI may read.
How quickly can you see the effects of AI in sales?
The first effects on the speed of handling enquiries are usually visible after a few weeks of the pilot, but assess the impact on sales after at least 60 days and always in comparison with a baseline period or a group that worked the old way.
Does AI in B2B sales work in a small company?
Yes, if there is a repeatable process: regular enquiries, several sales stages, more than one salesperson. In a very small company, an AI tool alongside a simple CRM is often enough, without major integration.

- Zapytaj o sposób przechowywania danych i spełnianie wymagań o ochronie danych osobowych.
| Criterion | Question for check |
|---|---|
| Prostota | Czy nowa osoba poradzi sobie po krótkim wprowadzeniu? |
| Adjustment | Czy da się odwzorować nasz proces sprzedaży? |
| Połączenia | Czy współpracuje z naszą pocztą i stroną? |
Raz w miesiącu przejrzyj duplikaty i nieaktualne kontakty.
Where to look for related topics?
O sprzedaży firmom przeczytasz w artykule business customer acquisition. O drodze klienta piszemy w tekście proces zakupowy, a o kontaktach z klientami w artykule communication with customers.
Taka osoba, nawet jeśli robi to obok innych obowiązków, znacząco zmniejsza liczbę błędów i frustracji w pierwszych miesiącach.
