Guide: AI in business › AI implementation, tools and team skills
Good AI training for a company teaches the team to work on its own tasks, to handle data safely and where the line lies that a tool may not cross without human approval. Since 2 February 2025 this has been more than good practice, because the AI Act (Article 4) requires companies that use AI to ensure their employees have AI knowledge. Below: what training should include, what types of training are on the market, what they cost and how to check whether it worked.
In 60 seconds AI training in five points
- What it’s about: practical learning to work with AI tools on the team’s own tasks, combined with safety rules and regulations.
- Who to train: every department that already uses AI or is about to get licences, from marketing and sales to HR, finance and even the board.
- Budget: from zero (free general programmes) to tailor-made workshops. The price depends on the number of people, how far the programme is tailored and what happens after the training.
- First step: a list of tasks in which the team wants to use AI, and a simple AI policy.
- Red flag: training “about AI” without work on your own tasks, or a certificate that changes nothing in how the team works.
What makes good AI training for a company
AI training for a company isn’t a demonstration of what ChatGPT can do. It is practical learning after which people carry out everyday tasks differently: they prepare a report faster, check facts better and know what not to paste into a tool. You can see the difference after a month. Either the team works differently, or everything has slipped back to old habits and the licences sit unused.
The training market is very broad today: from free online courses and training in specific tools to tailor-made AI workshops for companies. We have described the path for individuals separately, in our piece on AI courses with a certificate and postgraduate studies in AI; here we focus on training for entire teams. Where training fits into the wider plan is shown in our guide to artificial intelligence for marketing and PR.
Is AI training mandatory? What the AI Act says
Since 2 February 2025, Article 4 of the AI Act has required companies that use AI systems to ensure AI knowledge among the employees who use them. In July 2026 an amending regulation, known as the Digital Omnibus, came into force. According to the European Commission, the obligation remains, but the provision no longer prescribes a specific “sufficient” level, and measures should match the tools, the roles in the team and the risks in the company.
Two practical points from the Commission’s guidance: a certificate isn’t required, and a company may keep an internal record of training and other measures. This provision is supervised by national market surveillance authorities, not the EU AI Office, and enforcement begins on 2 August 2026. We have compiled the other deadlines of the AI Act for marketing and PR separately.
What should AI training for a company include?
Whatever the department and tool, good AI training covers six elements. Is one of them missing from the programme? Ask why.
- Work on the team’s real tasks, not on generic examples from the internet.
- Data security: what may and may not be pasted into a tool.
- Checking results: how to catch made-up figures, quotations or sources (we explain why the model invents them under AI hallucinations).
- Boundaries: what AI prepares and what a human approves (publication, sending, decisions about people and money).
- Regulations, i.e. what in the AI Act applies to your department: labelling content, chatbots, recruitment.
- Company rules: AI policy, list of permitted tools, person responsible.
What AI training is on the market and how it differs
The range of artificial intelligence training can be divided into four groups, and each makes sense at a different moment, so a company usually needs two at once: one general and one tailored to the department.
An example of a free general programme is “Umiejętności Jutra: AI” (Skills of Tomorrow: AI) by Google and the SGH Warsaw School of Economics, whose third edition launched in February 2026; it lasts five weeks, includes more than 25 hours of material and ends with a Google and SGH certificate. Such programmes build the basics well, but they don’t know your processes.
| Type of training | Who it is for | What it teaches | Limitation |
|---|---|---|---|
| General, often free | anyone starting out | AI basics, risks, simple applications | doesn’t know your company’s processes |
| Tool-based (Copilot, ChatGPT, Gemini, Claude, Excel) | a team that has licences | the features of a specific tool | easily teaches clicking instead of thinking about the task |
| Departmental (marketing, HR, finance, sales, legal, administration) | one department | applications and risks in the given line of work | requires preparation using company materials |
| Advanced (AI agents, prompt engineering, automation) | people building solutions | designing workflows, building agents | too early if the team lacks the basics |

- Data security 15%

AI training in marketing and PR
Communications departments have their own specific risks (publishing made-up data, leaks before an announcement, deepfakes in a crisis, content labelling obligations), so AI training in marketing should also cover AI-driven crisis communication and rules for bylines. We have described what the first hour of a crisis in which AI plays the lead role looks like in our article on AI in crisis communication.
A Polish ZFPR survey from June 2026 showed that 67% of PR agency employees have low or very low trust in AI outputs, while 62% of agency boards consider knowledge of AI tools important when hiring. This is the gap training should close: people need to be able to check an output, not just generate it. A good exercise is working on prompts, i.e. instructions for the model, written for your own tasks; we have collected ready-made templates in our set of marketing prompts.
AI training in graphic design is a separate topic: participants need to know when a generated image must be labelled and how to avoid infringing image rights or trade marks.
Tool training: Copilot, ChatGPT, Excel, Gemini, Claude
Training in a specific tool makes sense once the company has decided what it uses; if it hasn’t yet, start with our comparison of ChatGPT, Gemini and Copilot for business, and plan the training after you have chosen. Microsoft Copilot training is useful for teams working in Microsoft 365, because that’s where Copilot works in email, Teams and documents. We have set out licences and plans in a separate article on Copilot prices and plans for business.
Training that combines Excel and AI is very popular, i.e. training in using ChatGPT with Excel or the AI features in Excel 365. In finance, sales or accounting, this is often the quickest return, because reports and summaries take up the most time there. You can find out what AI can do in spreadsheets today in our article AI in Excel.
Training in Google AI or Gemini makes sense in companies working in Google Workspace, and training in Claude AI in teams that have chosen that tool for working with long documents. Whatever the tool, the principle is the same: task first, then feature. Leave training in building AI agents until later, once the team has mastered the basics; we show what building an agent involves in our guide how to create an AI agent.
Szkolenie AI w sprzedaży najlepiej oprzeć na notatkach przed rozmową, ofertach i pracy z systemem klientów; tło daje tekst o CRM with AI.
How to organise AI training in your company step by step
Training works best as part of an implementation, not a one-off event, so build it into a wider plan, for example our 90-day AI implementation plan.
- STEP 01List the tasks
Collect from each department 3–5 tasks in which people want to use AI or already do. This will be your training material.
- STEP 02Set the rules before the training
A short AI policy: permitted tools, data that must not be pasted, who approves the output. The training should teach these rules. Not invent them along the way.
- STEP 03Measure the “before” state
Record how long 2–3 typical tasks take and how often they need corrections.
- STEP 04Run a workshop on your own tasks
Work in small groups, on company materials, with an exercise in checking outputs.
- STEP 05Allow time for practice
Between sessions, people apply AI in their work and collect questions. The second session addresses real problems.
- STEP 06Document and measure
Record who was trained, when and in what scope (this will help with Article 4 of the AI Act), and repeat the measurement after a month.
How to choose AI training? Seven checklist questions
Type “best AI training” or “which AI training to choose” into a search engine and you’ll get long lists of offers. These questions will help you filter them.
- Is the programme tailored to our team and our tasks?
- Do participants work hands-on, or do they listen to a lecture?
- Does the training cover data security and regulations?
- Who runs it, and what experience do they have in our industry?
- Will we receive materials and rules to implement after the training?
- How will we check the effect after a month?
- Is the training documented, i.e. is it known who completed it, when and in what scope (useful for the Article 4 requirement)?
How much does AI training for a company cost?
The range is huge. There is free AI training, such as the Google and SGH programme mentioned above or the Elements of AI course, and there are workshops designed for a single team. The price depends mainly on how much work goes into tailoring and what happens after the training.
| Factor | Cheaper option | More expensive option |
|---|---|---|
| Programme tailoring | standard programme | programme based on company tasks and materials |
| Format | online recordings and webinars | on-site workshop in small groups |
| Number of sessions | one session | a series of sessions with practice in between |
| Post-training materials | presentation | AI policy, instructions, ready-made prompts for the team |
| Measuring the effect | satisfaction survey | measuring the time and quality of tasks before and after |
Sprzedaż ćwiczy notatki przed rozmową i szkice ofert. Księgowość uczy się sprawdzać każdą liczbę. Marketing pracuje na poleceniach do tekstów i ćwiczeniu „znajdź błąd”. Wspólny moduł dla wszystkich dotyczy ryzyk, które opisujemy w tekście o the risks and ethics of AI in business.
Lista uczestników z datami i zakresem trafia do dokumentacji.
When to train your team and how to check whether the training worked
Szkolenia dla zespołów komunikacji prowadzimy w ramach PR Academy; we write about good team communication in general in our article on internal communication. Jeśli chcesz, żebyśmy przygotowali program na zadaniach Twojego zespołu, zajrzyj na stronę o AI training for companies.

Five ways to burn through your training budget
People learn the tool but don’t know what they mustn’t paste into it, so the risk of a data leak and a GDPR breach appears in the very first week, before anyone has a chance to notice.
After an hour of slides, participants know what AI can do. They can’t apply it. The cost: budget spent, working methods unchanged.
Marketing, finance and HR have different tasks and different risks, so a shared programme for everyone misses the mark a little for each. The cost: every department considers the training “not for us”.
Without a record of who was trained and in what, it’s hard to demonstrate care for employees’ knowledge. The cost: problems during an inspection and when onboarding new people.
Participant satisfaction doesn’t tell you whether the work has changed. The cost: further training bought blind, without knowing whether the previous one achieved anything.
Questions we hear before training a team
Is AI training mandatory?
Since 2 February 2025, the AI Act (Article 4) has required companies using AI to ensure AI knowledge among the employees who use it. The provision doesn’t prescribe a form, but training is the simplest way to meet and document this obligation.
Does AI training have to end with a certificate?
No. The European Commission explains that a certificate isn’t needed to comply with Article 4 of the AI Act, and a company may keep an internal record of training. A certificate can be useful for the participant, but for the company, the change in how the team works matters more.
How long does AI training for a company take?
It depends on the scope and the size of the group. The basics of working safely with AI can be covered in a one-day workshop; embedding AI in a team’s specific processes usually takes several sessions, with work in between.
Which AI training courses are best for companies?
Those that end with a change in how the team works, not just a certificate: training on your own tasks, with safety rules and regulations, with materials for implementation and with measurement of the effect after a few weeks. The rest is usually a lecture.
Is there free AI training for companies?
Yes. Examples include the “Umiejętności Jutra: AI” programme by Google and SGH, which ends with a certificate, and the free Elements of AI course, available in Polish. They provide a good foundation but won’t replace working on a specific company’s tasks and rules.
Is it worth training the team in Copilot or ChatGPT?
Yes, if the company has already decided which tool it uses and has rules for its use, and the training itself starts from the team’s tasks and only then shows the tool’s features. The reverse order teaches clicking.
Who should do AI training first?
People who already use AI or will be the first to get licences, and the managers who will approve the results of work done with AI. AI training for managers should focus on rules and risks, and on how to check the results of the team’s work.
